Hotel linen par calculator

Enter your rooms, occupancy and how long linen is away at the laundry. The calculator shows how many sheets, covers, pillowcases and towels to own.

Your hotel

Linen to own

Sheets–
Duvet covers–
Pillowcases–
Bath towels–
Hand towels–
Bath mats–

That is about – par for sheets.

Stock = linen on the beds + linen away at the laundry + a safety margin. Rounded up. A starting point, not a rule: adjust after a few weeks of real counts.

How the calculator works

Every bed needs one set in use. On top of that, you need enough linen to cover the rooms changed each day for as long as used linen is away being washed. The calculator multiplies your rooms by the share that are occupied and changed each day, then by the number of days between pickup and return, adds the linen on the beds and puts a safety margin on top.

Towels follow the number of guests per room rather than beds, and pillowcases follow the number of pillows. Everything is rounded up, because half a pillowcase is no use on a busy morning.

Choosing the inputs

Use your busiest normal week, not the quietest. If your occupancy swings a lot, run the calculator twice: once for a typical week and once for peak season, and plan stock around the higher figure.

Rooms changed per day covers departures plus any stayover rooms whose linen you change. A hotel with mostly one-night stays may be close to its occupancy; a hotel with long stays and a towel-reuse policy will be lower. Days away is the time from when linen leaves the building to when it comes back clean, including weekends.

What the result means

The par figure for sheets tells you how many complete sets you hold per bed. Many hotels work on about three; a hotel with slow returns or very high turnover may need four or more. If the result is far below what you own, you may be holding stock that sits on shelves. If it is far above, you are probably washing linen too often and running short at peak times.

Treat the figure as a starting point. After a few weeks of counting what goes out and what comes back, adjust the safety margin to match how your hotel really runs.

FAQ

Hotel linen par calculator: questions

?

What is a good par level for a small hotel?

Many small hotels hold about three sets per bed. The right number depends on occupancy, how many rooms are changed each day and how long linen is away.

Does the calculator include restaurant or spa linen?

No. Work those out separately; they follow covers and treatments, not rooms.

Why add a safety margin?

It covers stained items held back, late returns and unexpectedly busy days. Around ten per cent is a common starting point.
